Melt Policies

1. General Terms

Instructors and Classes: Instructors and classes are subject to change without notice. Please visit our schedule page for the most up-to-date class details.

Payment Methods: We accept Visa, Mastercard, American Express, or Debit. Cash is not accepted.

Payment & Refunds: All services must be pre-paid and are non-refundable, non-exchangeable, and non-transferable.

Final Sale: All sales are final. No refunds, exchanges, or transfers.

Late Entry: We do not allow late entry into classes, no exceptions. Please arrive 10-15 minutes before your class to ensure a timely start.

Drop-ins: Drop-ins are welcome, but a spot cannot be guaranteed without pre-registering through our app or website.

Minimum Age: The minimum age to participate in class is 16. For safety and to maintain a tranquil environment for all clients, minors under 16 are not permitted in the studio, either to attend classes or accompany parents/guardians.

2. Membership Terms

All membership contracts are billed on a monthly recurring basis.

You may cancel your membership at any time before the next billing cycle.

To cancel, please email hello@meltstudios.ca at least 7 days before the expiration of your current month. This ensures your auto-renewal is canceled for the following month. We do not offer refunds for partial months if you cancel mid-month.

3. Membership Suspension or Termination

Melt Studios reserves the right to suspend or cancel your membership, without refund, if you or your guest:

a) fail to follow studio rules and policies,

b) cause a nuisance or disturbance,

c) engage in illegal or inappropriate conduct, or

d) act in a way that may endanger yourself, others, or studio property.

If your membership is suspended, your payment obligations under this Agreement will continue as scheduled.

4. Studio Etiquette

We love creating a space where everyone feels welcome, focused, and supported. Please help us keep the Melt vibe flowing:

  • Arrive early: doors close at class start time.

  • Check in: always stop by the desk before class.

  • Phones away: silence and store them in lockers.

  • No shoes in the hot room: leave all street shoes outside the practice space.

  • Quiet zone: keep voices low in practice rooms.

  • Stay until the end: if you must leave early, exit before final rest.

  • Leave props in the room: our team will clean and reset after class.

  • No recording: classes are a safe, private space.

  • Be kind: to yourself, your teachers, and our community.

5. Registration Policy

We never want you to miss your favourite class! The only way to guarantee your spot is to register online or through the app.

If the class is full, please join the waitlist. We promise they work!

6. Cancellation Policy

If you can no longer attend the class you’re registered for, please cancel at least 6 hours prior to the class start time.

To cancel:

  • Open the Melt app.

  • Cancel the class you booked.

  • Done!

Late Cancellation: If you cancel within 6 hours of the class start time, a $15 Late Cancellation fee will apply.

No Show: If you do not show up for class and haven’t canceled, a $20 No Show fee will apply.

Late Entry: Doors open 5 minutes before class and close as class begins on time. No latecomers will not be allowed in for the safety of all participants. No exceptions.

We do not accept cancellations via email, social media, or voicemail. Please use the app or website to cancel.

7. Freezing Policy

You can freeze your unlimited membership for up to 30 days twice per calendar year. The first freeze can be requested at any time after starting your membership.

This freeze policy does not include involuntary freezes, for example studio closures. In the case of injury or pregnancy, you can request a freeze for the required duration with a doctor’s note.

All freeze requests must be made in writing, including your desired start and end date. Requests must be submitted at least 7 days before the desired start date to avoid automatic billing.

Please email hello@meltstudios.ca to request a freeze.

8. Waitlist Policy

How It Works: If a class is fully booked, you can add yourself to the waitlist in hopes of getting a spot. If someone cancels their reservation, the first person on the waitlist will be automatically enrolled into the class, up to 60 minutes before the class start time.

Notifications: You will be notified via email and text, if subscribed, if you get bumped from the waitlist into the class. Make sure your profile is set to receive notifications. Check your settings in the Profile section of the Melt app to OPT IN for text messages. You must have a phone number added first.

Removing Yourself: If you no longer wish to take the class, please remove yourself from the waitlist to avoid being automatically enrolled and facing any penalties. There is no penalty for removing yourself from the waitlist. Once you are enrolled in class, our standard no-show/late cancellation policies will apply.

The waitlist will lock 60 minutes before class starts, meaning no more spots will be automatically added from the waitlist. After that time, any available spots will be texted to students still on the waitlist, on a first come, first served basis. Make sure to turn on text notifications!

9. Terms & Conditions

Memberships become active upon your first class.

Each membership allows two complimentary pauses per calendar year, with each pause lasting a maximum of 30 days. All sales are final. Memberships, drop-ins, class cards, and gift cards are non-refundable and non-transferable.

No-Show & Late Cancellation Fees:

  • A $20 no-show fee will be charged if you do not attend a class you’re registered for.

  • A $15 late cancellation fee will apply if you cancel your class less than 6 hours before the start time.

Sorry, we cannot make individual exceptions to these policies.

10. Cell Phone Policy

To maintain a focused and respectful environment, the use of phones during class is not permitted. Phones should be kept out of the studio space entirely.

  • Phones Off or on Silent: Please turn off or silence your cell phone before entering Melt. Vibrations can still be disruptive in a quiet room.

  • No Phone Use in the Practice Area: Refrain from using your phone for calls, texting, or checking notifications inside the studio, including before and after class. This ensures a distraction-free environment for everyone.

  • Emergency Use Only: If you are expecting an urgent call, or you require your mobile device for accessibility or medical reasons, please inform the instructor before class and keep your phone on silent by your mat. Step outside quietly if you need to take the call.

  • No Photos or Videos During Class: To respect the privacy and comfort of all students, recording or taking photos during class is not permitted. If you wish to take a photo before or after class, please ensure you are not including other students.

  • Designated Phone Area: If needed, please use your phone outside the entrance door or in the stairwell.

  • Smartwatches Allowed: Smartwatches are welcome, but we strongly recommend setting them to Theater Mode to minimise distractions during class.
